Transportation, properly planned

A passenger list is not yet a transportation plan.

A spreadsheet tells us who is traveling. A transportation plan connects each person to a realistic vehicle, route, time, pickup instruction, vendor, communication, and contingency.

That distinction matters when flights change, luggage takes longer, a loading zone cannot hold a coach, an executive has a different schedule, or 200 attendees need to reach an off-site venue together.

04

Vendor & driver communication

Schedules, contacts, pickup instructions, guest-facing information, changes, and dispatch-ready documents kept in one operating plan.

05

06

Remote or on-site oversight

Standard remote monitoring is included in the quoted transportation cost. Physical on-site dispatch can be added when the movement calls for it.

The guest experience is already moving

The vehicle should fit the movement—not the other way around.

Some transfers are purely functional. Others become part of the experience. Either way, vehicle choice, timing, capacity, route, and guest expectations need to work together.

One complete transportation quote

Planning is built into the transportation cost.

IncludedNo separate planning or coordination fee

Your transportation proposal is presented as a complete quote. Transportation sourcing, booking support, movement planning, and standard remote monitoring are included in the quoted transportation cost—there is no separate planning or coordination fee added on top.

When requestedPhysical on-site support

If your program requires Of MICE and Meetings to be physically on site for dispatch and live movement management, on-site professional services, travel, accommodations, and any additional staffing will be quoted separately for approval.

Flexible additions

Ride and meal vouchers can fill the right gaps.

Uber for Business ride and meal vouchers can be included alongside reserved transportation—or used independently for specific, dispersed needs.

Hybrid participation

Shared meals from a distance

Uber Eats vouchers can include remote attendees working from home or personal offices in a shared lunch or reception.

Traveler support

Home-to-airport rides

Employers can cover individual rides to and from an attendee's home and airport before and after the event.

Contingency

A small prebudgeted pool

Internal teams often reserve approximately 10 ride vouchers for last-minute requests, staff movement, or urgent supply runs.

How it works

From the first trip detail to a dispatch-ready plan.

  1. 01

    Share what is known

Dates, destination, guest count, airports, hotels, venues, and any traveler information already available.

  2. 02

    Define the movement

We identify every pickup, drop-off, wave, VIP, accommodation, decision point, and known pressure point.

  3. 03

    Source and compare

Appropriate suppliers, vehicles, complete quoted costs, availability, terms, and tradeoffs are organized for review.

  4. 04

    Build the operating plan

Manifests, routes, assignments, schedules, communications, vendor documents, and contingencies come together.

  5. 05

    Monitor or dispatch

We support the program remotely, or add physical on-site dispatch when the movement requires a person on the ground.

Common questions

Clear answers before the vehicles are booked.

Can you support transportation without planning the rest of our event?

Yes. Transportation can be a standalone engagement for an internal events team, agency, assistant, or office manager that needs specialist capacity for this workstream only.

Is there a separate planning fee for transportation?

Transportation sourcing, booking support, movement planning, and standard remote monitoring are included in the complete quoted transportation cost. Physical on-site dispatch, travel, accommodations, and additional staffing are quoted separately when required.

Can you work from our existing passenger manifest?

Yes. I can review the data you already have, identify missing information, group travelers into workable arrival and departure waves, and build the vehicle and operating plan around it.

Can Uber vouchers be part of the transportation plan?

Yes. Uber for Business ride and meal vouchers can work well for individual home-to-airport trips, hybrid attendee meals, and a small contingency pool. They are not recommended as the primary plan for a large group that must move at the same time.

Do you provide accessible transportation?

Accessibility needs are included in planning and supplier conversations. Accessible vehicle availability varies by market, so requirements should be identified and confirmed as early as possible.

How early should transportation planning begin?

As soon as dates, destinations, or likely travel patterns are known. Early planning creates more supplier and vehicle options, while later manifest updates can be layered into the operating plan as travelers confirm.
